How to manage student ID card production during enrolment

Enrolment week is the start of the academic year when tens of thousands of people who have never set foot on campus before have to have a new student card to provide identity and access from the first day. It can be a logistical nightmare if not handled correctly.

For the people actually running enrolment, whoever owns registry, IT, or student services, it's one of the highest-pressure logistics exercises the institution runs all year, and the ID card sits right at the centre of it. The challenge of student enrolment

What needs to be on a student ID card

A student card is usually doing more jobs than any other ID card that an institution issues. Depending on the setup, a single card is typically expected to cover:

  • Photo identification: for exams, campus security, and general identity verification.
  • Library membership: borrowing, self-service returns, and access to reference collections.
  • Building and door access: halls of residence, labs, libraries after hours, and restricted departments.
  • Attendance capture: swipe or tap data at lectures and seminars, which for sponsored international students feeds directly into UKVI compliance reporting.
  • Cashless payment: campus catering, vending, and printing credit on many UK campuses.

How to build a student ID production process

Get the data pipeline right

Most card production failures during enrolment trace back to bad data, not bad printing. Names that don't match the student record system, photos submitted in the wrong format, or duplicate records from Clearing placements landing late all cause the same problem: a queue of students at a card desk who can't be issued a card on the spot.

A card that's printed correctly but not yet encoded for door access is functionally useless to a new resident trying to get into halls on their first night.

Keep a visible buffer of blank stock and staff capacity

However good the pre-registration data is, enrolment week always produces a tail of lost cards, printing errors, and last-minute corrections. Institutions that build in spare card stock, an extra printer, and a dedicated member of staff purely for exceptions tend to avoid the scenario where a single faulty batch or printer jam brings the whole collection point to a halt.

  • A clear, fast deactivation process, since a lost or stolen card that still works for building access or cashless spend is a live risk, not just an inconvenience.
