A photo ID card is not a substitute for a DBS check, but it is part of the visible, day-to-day system that demonstrates your school is managing site access seriously. Colour-coded cards for different staff groups, permanent staff, supply teachers, contractors and volunteers, for example, make it immediately obvious at a glance whether someone is in the right place with the right level of access. When combined with a digital visitor management system like EntrySign, you also have a reliable, timestamped record of who has been on site and when.

Can we issue different card designs to different staff groups?


Yes, and for most schools this is exactly the right approach. Teaching staff, support staff, cover teachers, contractors, and volunteers can each have a card that's visually distinct with different background colours, different role labels or different border styles. This makes the system easy to read at a glance without requiring anyone to read the small print on a card. We design your card templates to your specification, and if you're running an in-house printer, you can switch between templates for different staff groups from the same software.

What happens to a card when someone leaves?


With a standard printed ID card, the practical answer is: you ask for it back and hope it comes back. With a smart card or fob linked to your access control system, deactivation is instant and automatic, the card stops working the moment it's removed from your system, regardless of whether it's been physically returned. Can you standardise inconsistent ID across multiple schools?


This is one of the most common requests we receive from trusts, and it's very straightforward to address. If you have an in-house ID card printer, cards can also be printed centrally and distributed, or each school can be set up with its own in-house printer running the same template.

How does the card printing process work?
